Check-out report

The comparison. On the day the tenancy ends, the inspector goes back through the check-in line by line, records what has changed, and says who is responsible for it. This is the document a deposit decision is made on.

What is inspected

The same rooms and the same items as the check-in, in the same order, so every line has something to be compared against. Anything that has changed is photographed next to its original photo.

  • Every item on the check-in schedule, re-rated for condition and cleanliness
  • New marks, damage or missing items, photographed and dated
  • Cleaning standard room by room, including inside appliances and cupboards
  • Furniture and supplied contents checked against the check-in list
  • Keys, fobs and remotes returned, counted against the check-in
  • Final electricity and water meter readings
  • Balconies, terraces, yards, garage or store
  • Items left behind by the tenant, listed

What you receive

One report, the same copy to landlord and tenant, within 24 hours of the visit.

  1. A side-by-side schedule: check-in condition, check-out condition, and what changed.
  2. A liability column for every change: fair wear and tear, tenant damage, or cleaning.
  3. Final meter readings, key count and a list of anything left behind.
  4. A summary page, so the deposit conversation starts from a list rather than a memory.

Wear and tear, damage, or cleaning

Every change is put in one of three columns. This is what separates a report from a folder of photographs, and it is the part a panel actually reads.

Fair wear and tear

The normal result of someone living there: scuffed paint by a light switch, a worn patch on a carpet, a mattress that has aged. Not chargeable.

Damage

A change that was not there at check-in and goes beyond normal use: a cracked tile, a burn on a worktop, a broken hinge. Recorded with both photographs.

Cleaning

Where the cleanliness rating has dropped below the check-in standard: the oven, the extractor, the grout. The most common deduction and the least often documented.

Price

By property size, VAT included. A check-out with no check-in to compare against is far weaker evidence, which is why the two are priced as a pair.

Who books a check-out

Landlords

To make a deposit decision they can put in writing and, if it comes to it, put in front of the Housing Authority.

Letting agents

To take the end-of-tenancy argument off their desk. An independent list of changes is easier to mediate than two opinions.

Tenants

To leave with a dated record that the property was returned as found, before any deduction is proposed.
